Clubhouse Rentals

The Nottingham Gate Estates Clubhouse is ONLY available for rental to association members who have paid any Homeowners Association dues & assessments and are in good standing with the HOA. You must be present at all activities conducted during your rental period.

This rental is for the Clubhouse only. This rental does not include the private use of the pool, basketball or tennis courts.  These are neighborhood facilities and will remain open to all residents. Renters are subject to a $500 fine if found in violation of the pool/courts policy.

There is a $175 rental fee and a $400 damage deposit required. Two separate checks are required, both made payable to: Nottingham Gate Estates Homeowners Association that are to be submitted together with this request and the attached Waiver of Liability to the Recreation Committee within five (5) days of the request to guarantee rental on the requested date. A 50% deduction from your rental fee applies if you cancel within five (5) working days of your rental date. The damages deposit will be 100% refunded if you cancel prior to your event.

A Homeowners Association representative will meet you at the Clubhouse prior to your rental date to inspect the premises for any existing damage or unsatisfactory conditions. You and the representative should record such conditions. This will protect you from any responsibility for pre-existing negative conditions.

The keys to the Clubhouse will be turned over to you following this inspection, on the day of your rental. You may be granted access the day prior to decorate/set-up if no other parties have rented the space. Keys must be returned no later than the day following your event.

The Clubhouse will be clean for your use. You are responsible for removing all trash and personal belongings IMMEDIATELY following your event. (Garbage cans are provided outside the building.) Your rental fee covers a thorough, professional cleaning following your use, but any excessive cleaning charges will be deducted from your security deposit. You are personally liable for damages and/or charges that exceed the $400 security deposit. You will be provided an itemized list of damages showing what amounts have been deducted from your security deposit. 

You are prohibited from attaching, in any manner, banners, posters, balloons, pictures, or other items to any walls in the Clubhouse. Upon leaving the center, please turn off all appliances, including gas fireplace, lights, etc., close and lock all windows, return the thermostat to its original position, and lock all doors.  No pets or animals are permitted in the Clubhouse.

The renter is fully responsible for compliance with all Federal, State, and Local laws, including the consumption of alcoholic beverages by your guests.  The renter cannot charge a fee for providing alcoholic beverages to guests. Alcoholic beverages cannot be served if a license is required.

THE CLUBHOUSE BUILDING IS A NON-SMOKING FACILITY.

Parking is available in the parking lot next to the Clubhouse, but it is limited. Please be considerate of the residents in the area of the Clubhouse in all respects, including noise level and additional parking.

It is your responsibility to contact the Homeowners Association representative and inform him/her that the Clubhouse is ready for post-rental inspection. This inspection must take place no later than the day following your rental. If the Facility is being rented the same day as your rental, the inspection will need to be conducted sooner. You and the representative will meet at the center to return the key and inspect the facility. Any unsatisfactory conditions will be reported to Nottingham Gate Estates Homeowners Association for their disposition.

Failure to comply with any of these conditions for use may result in denial of future rental privileges of the Clubhouse. Please enjoy the use of our beautiful Clubhouse and we hope your activity is pleasant and successful in every way!
